Job Summary
The Administrative Assistant, under general supervision, provides secretarial and administrative support for Emergency Management and Floodplain Administration, including customer service, purchasing, scheduling, and record keeping for the Departments.

Principal Accountabilities
The following duties are typical for this classification. - Answers multi-line telephone and provides courteous and professional assistance to the public in person, over the phone, and via email.
- Manage sensitive information and maintain confidentiality when required.
- Perform clerical tasks such as filing, data entry, photocopying, and scanning documents.
- Assist with the preparation of reports, spreadsheets, and other documents as needed.
- Serves as information resource; provides general information on departmental, county and state policies and procedures within the area of assignment.
- Assists with the processing of Sunshine Requests
- Assists with scheduling of training sessions within the County
- Aids in the preparation of Emergency Management reports
- Ensures compliance with floodplain properties is followed.
- Performs other responsibilities as required or assigned.
Knowledge, Skills & Abilities
- In-depth understanding of administrative principles and practices.
- Ability to provide courteous and professional assistance to the public, address inquiries and concerns effectively, and maintain a positive customer service experience.
- Maintaining confidentiality and adhering to privacy regulations is critical to safeguarding data.
- Ability to multitask, prioritize, and manage time efficiently.
- Strong interpersonal skills with the ability to work collaboratively across departments.
- Proficiency in basic computer skills, including Microsoft Office applications.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Skill in performing work according to verbal and written instructions.
- Must be able to speak, read and understand English proficiently.
- Ability to safely conduct assigned tasks, duties, and responsibilities independently.
- Knowledge of county policies, regulations, and compliance standards.
Experience & Education
- High school diploma or equivalent.
- Previous experience in customer service, clerical support, or administrative roles preferred.

Physical Requirements/Working Environment
PHYSICAL DEMANDS - Most work is performed in a professional office setting and is primarily sedentary. Must possess vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone. Position requires continuous sitting, upward and downward flexion of neck; fine finger dexterity and light to moderate finger pressure to manipulate keyboard, equipment controls, and other office equipment; pinch grasp to manipulate writing utensils. Frequent side-to-side turning of neck, walking, standing, bending, and stooping, pushing/pulling, twisting at waist, moderate wrist torque to twist equipment knobs and dials; lifting objects weighing up to 25 lbs. from below waist to above shoulders and transporting distances up to 50 yards. Occasional squatting, kneeling, reaching above and at shoulder height, moderate grasping to manipulate objects, lifting objects weighing 20-35 lbs. from below waist to above shoulders and transporting distances up to 50 feet.
WORK ENVIRONMENT - This job operates in a professional office environment. Professional attire required. This position routinely uses office equipment such as computers, calculators, multi-line telephones, photocopiers, printers and scanners, binding machines, hand-held recording devices, filing cabinets and fax machines. This position is routinely in contact with the public, other Lincoln County, and State employees, elected officials, and members of other entities. Due to the subject matter of the position, the employee may be subject to stressful situations.
