Full job description

The Troy Area Chamber of Commerce is seeking a full-time Office Administrator to work 40 hours per week during normal business hours, with the exception of special events/projects which could include evenings and/or weekends occasionally. This is an opportunity for a self-motivated and highly organized professional to work with a growing and active Chamber of Commerce. This position reports to the Board of Directors and the Membership in support of its mission. Office Administrator duties include, but are not limited to:

GENERAL OFFICE DUTIES:

  • Responsible for daily management of the Chamber office. This includes responding to email, telephone, and voicemail inquiries, scheduling appointments, preparing materials for meetings (agendas, minutes, and other pertinent information), performing bulk mailings, ordering office supplies, maintaining filing system.
  • Preparation for board meetings and other committee meetings, including email reminders, agendas, minutes, and follow up.
  • Webmaster duties including updating the chamber website.

MEMBERSHIP DUTIES:

  • Maintaining accurate membership information in the database that will be used in the yearly Business Directory and daily for other purposes (mailing letters to membership, invitations, invoicing, and contacting business).
  • Maintaining accurate records relating to number of members and membership histories as well as current prospects list of potential members.
  • Completing all renewal processing, tracking, and reporting of members.
  • Acting as the primary contact person for new businesses requesting information about the Troy Area.

ACCOUNTS PAYABLE DUTIES:

  • Ensuring that all membership dues are paid.
  • Paying bills in a timely manner and retaining accurate records pertaining to bill and invoice payment.
  • Invoicing billable charges to the Chamber members for ads, etc.
  • Developing yearly budget projections for the Chamber.
  • Preparing monthly P&L reports for Finance Committee, along with P&L for select Chamber events.
  • Executing monthly bank account reconciliations for all Chamber and Committee bank accounts.
  • Assisting in the preparation of materials for any audits.

THE SUCCESSFUL CANDIDATE WILL:

  • Have 5+ years experience in office management preferred.
  • Have excellent interpersonal skills.
  • Be self-motivated and highly organized.
  • Have excellent oral and written communication skills.
  • Have excellent time management and prioritization skills.
  • Have technical skills including Microsoft Office, Quick Books, CRM.
